Cleaning service deposit: secure holiday bookings without calendar gaps

Modrý rozprašovač vedle červených vánočních ozdob připravený na předvánoční úklid.

A cleaning service deposit has one sensible job during the Christmas rush: it confirms that the booking is real and protects a block of time you may not be able to sell again at short notice. It should not punish a client or disguise a December surcharge. For a one-time holiday clean, the strongest setup is usually a plain deposit rule, a short written confirmation and a waiting list ready for any gap that still appears.

When a deposit makes sense, and when it does not

Sort bookings by risk before you sort them by client. A regular customer whose flat you have cleaned every Tuesday for two years probably does not need a new deposit simply because it is December. Nor is it worth chasing a CZK 300 transfer for a two-hour visit if matching payments creates more admin than the booking risk deserves.

A first visit is different. So is an eight-hour deep clean, a post-party job or a booking that occupies most of the working day. If someone cancels on Friday evening for Monday 16 December, replacing a full-day job in Prague is difficult. The deposit is not a verdict on the client's character. It records that both sides have agreed to the same date, scope and price range.

I use one blunt question: how much of the day will be left empty, and could you realistically fill it again? A three-hour booking in Vinohrady might be replaced by a smaller nearby job. An eight-hour house clean near the edge of Prague probably will not be.

A holiday cleaning deposit is most useful for:

  • a new client's first appointment;
  • a half-day or full-day deep clean;
  • a job that makes you decline two smaller bookings;
  • post-party, move-out or handover cleaning;
  • dates in the last two or three weeks before Christmas.

Do not turn it into a hidden seasonal fee. If the agreed job is CZK 4,800, a CZK 1,200 deposit is the first part of that price, not another charge on top. The quote needs to make that obvious.

How much to take and how to deduct it from the final price

For a solo cleaner, one usable rule beats a five-tier fee table. You might set a fixed CZK 1,000 deposit for a full-day job, or take a percentage of the confirmed quote. Twenty-five per cent is a workable starting point, not a universal standard. On a CZK 4,800 quote, the client pays CZK 1,200 to book and CZK 3,600 after the work.

A fixed sum is easy to explain but can become lopsided. CZK 1,000 is a large share of a CZK 3,000 clean and a weak safeguard on a CZK 10,000 job. A percentage follows the size of the commitment more closely. Pick one method for the season so comparable clients receive comparable terms.

Put three figures together in the confirmation or payment record:

  • confirmed price or estimate: CZK 4,800;
  • cleaning service deposit received: CZK 1,200;
  • expected balance after cleaning: CZK 3,600.

If you charge by the hour, state what the estimate assumes: perhaps six hours for two cleaners, ordinary soil levels and an agreed room list. The balance should only change if the client approves more time or extra tasks. An oven added at the front door is separate work. It does not retrospectively change what the deposit meant.

One December booking shows how small omissions cause the biggest arguments. A cleaner took CZK 1,500 for a deep clean of a 3+1 flat in Dejvice but did not put the overall estimate in her message. The customer assumed the payment covered most of the work; she viewed it only as a day reservation. The amount was not the real problem. One line showing the total and the balance was missing.

Explain transfers, refunds and forfeiture before payment

Terms sent after the bank transfer are too late. The message offering the date should also state the payment deadline, the rescheduling window, and what happens to the money after a late cancellation. A client should know the cleaning appointment policy before opening a banking app.

For the holiday peak, a practical rule might allow one free move up to 72 hours before the start time. A later cancellation means the deposit covers the reserved capacity. Choose the window around your own diary, though. If you can normally refill a cancelled day with 24 hours' notice, a stricter line may solve nothing.

Plan for awkward cases before they happen. What if the client is ill? What if you arrive and cannot enter the property? What if you have to cancel? When the cancellation is yours, return the deposit promptly or offer a new date and let the client choose. For illness, you may allow one transfer to a replacement slot. A second move can follow a different rule.

This is an operating model, not universal legal wording. Your process must fit the way clients order, your business terms and Czech consumer rules. If you intend to retain deposits regularly, ask a Czech lawyer or consumer advice service to check the exact language. The point here is calendar management and clear communication, not legal interpretation.

Write a short confirmation without legalese

A good one-time cleaning booking confirmation fits on a phone screen. The customer does not need a paragraph packed with "provider", "purchaser" and "penalty". They need the date, arrival window, address, scope, expected price, deposit amount and the rule for changes.

Here is a practical template:

> Hello, I am confirming the pre-Christmas deep clean on Tuesday 17 December, with arrival between 8:00 and 8:30, at [address]. The agreed scope is the kitchen including the oven, bathroom, toilet and standard cleaning of three rooms. The estimated price is CZK 4,800. To reserve the date, please pay a CZK 1,200 deposit by 18:00 tomorrow. It will be deducted after the clean, leaving an expected balance of CZK 3,600. You may move the booking once without charge up to 72 hours before the start. For a later cancellation, the deposit covers the reserved time. If you agree, please reply "Confirmed".

Add the account details and a payment reference, such as the surname and cleaning date. Once the money arrives, send a brief reply: "Deposit received. Your appointment is confirmed." That removes any doubt about whether the client completed the booking.

Do not hold an unpaid slot for five days. Give the offer a clear expiry time. An hour or two before it expires, send one reminder: "A quick reminder that I am holding the date until 18:00 today. If you no longer need it, a short message is enough." If neither confirmation nor payment arrives, release the time. That is fair to the people waiting for a December opening.

A waiting list can rescue a cancelled December date

Deposits reduce uncertain bookings. They do not prevent flu, a sick child or a burst pipe. A small waiting list therefore protects the diary better than a cleaning cancellation fee alone. You do not need new software. A table you will actually open when a cancellation arrives is enough.

Record each person's acceptable dates, time windows, district, approximate scope and contact method. Note whether they can make a decision within two hours. That last detail matters when the available slot begins the following morning.

Do not promise the same appointment to three people at once. Offer it to the first suitable person and set a short deadline, perhaps 90 minutes. If there is no answer, continue down the list. A useful message is: "Thursday 19 December from 9:00 has opened for your clean in Karlín. Please confirm by 14:30 if you would like it; after that I will offer the time to the next person."

Geography belongs in the list as well. A 9:00 to 13:00 gap in Prague 6 will not be rescued by a job in Újezd nad Lesy if the next clean starts at 14:00 in Bubeneč. A sensible capacity plan includes travel, parking and a little room for surprises inside the property. Billable cleaning hours are only part of the day.

Check after the season whether the rule worked

In January, do not judge the policy by the amount of retained deposits. That is a side number. Count cancelled long bookings, hours left empty and slots recovered through the waiting list. Add the time spent sending reminders, refunding transfers and explaining the same sentence twice.

A useful review can be six lines long:

  • one-time bookings taken in November and December;
  • deposits requested and deposits actually received;
  • early moves and last-minute changes;
  • hours left unfilled after cancellations;
  • appointments recovered from the waiting list;
  • client questions about the policy.

The final line tells you more than it seems. If five customers ask whether the deposit comes off the price, their attention is not the problem. Your wording is. If almost nobody needs an explanation and the calendar has fewer holes, keep the rule. Change only what the season's evidence supports: the amount, the notice window or the confirmation process.

A cleaning service deposit should not extract the largest possible advance payment. It should let a small business plan November and December without holding dates that are only "probably booked". Pair it with a visible balance, a fair option to reschedule and a short waiting list. That protects income without making normal clients feel suspected.
